What data do we collect about you?
We collect the personal data that you provide as part of the enquiry or booking process or e-newsletter sign-up.
Personal information we collect may include:

– your name, title, gender
– postal address, email address and phone numbers
– Details of an emergency contact (name, relationship to you, contact phone number)
– current medical or dietary requirements
– passport details including your date of birth
– your profession
– any stated preferences for your trip

What do we do with your information?
Data we hold may be used by us for the following purposes:

– Organise services and products as requested for your booking
– Send you promotional information by email. This type of communication can include information on our other products, services or events produced by Caledonia Worldwide and news/updates via our regular e-newsletters

You can opt out of any / all of our promotional information and news updates at any point simply by contacting us on info@caledoniaworldwide.com

How long do we hold your information?
We will retain information submitted as part of an enquiry for 12 months. Any information submitted as part of a booking will be retained for 3 years if you are an adult or 7 years for minors after the trip has finished. All information submitted will be stored securely in digital format and/or hard copy.  After the aforementioned periods we will ensure that any information you have given to us will be deleted or discarded in a safe and secure manner.

Who might we share your information with?
We may occasionally need to transfer your personal information overseas, for instance to our approved suppliers or representatives or bulk email distributor, Mailchimp. We are required to ensure any transfers of data will be done securely, in accordance with best practice.  Your data will never be sold or passed to any third party for any other purpose.

How do we keep your information secure?
We have implemented strict security procedures to protect the personal data that we have under our control from:

– unauthorised access
– improper use or disclosure
– unauthorised modification

All our employees who have access to, and are associated with the processing of, personal data are legally obliged to respect the confidentiality of our clients’ personal data.

How can I access the information about me, and correct the information?
You can ask us if we are keeping any personal data about you and you can also request a copy of that personal data – this is called a Subject Access Request.  To make a Subject Access Request you will need to complete the relevant form which you can download by clicking on the following link: Subject Access Request Form, and provide adequate proof of identity such as a copy of your passport, birth certificate or driving licence before your request can be processed. There may also be a fee of £10 depending on the volume of work required.  Please try to be as clear as possible about the information you are seeking.

Once we have received your Subject Access Request, the agreed fee and proof of identity, you will receive a response from us within 40 days and you will be able to get copies of any information we hold on you. However, exemptions to disclosure may apply in some circumstances.
